Email intelligence requires a connected Gmail account. Go to Settings → Integrations and connect Gmail to enable this feature.
What Hedwig scans for
Hedwig does not read every email in your inbox. It runs a targeted search for threads that contain financial document attachments: PDFs and Word documents with filenames or subjects containing words like “invoice”, “contract”, “agreement”, “retainer”, “statement”, or “proposal”. For each matching thread, the assistant extracts:- Document type — whether the email is about an invoice, contract, receipt, or proposal
- Amount — the monetary value mentioned in the subject or email body
- Currency — the currency of the detected amount
- Due date — any payment due date mentioned in the thread
Thread summaries
For every imported thread, Hedwig generates a 1–2 sentence summary written from a business perspective. The summary focuses on what (if anything) you need to do. For example:“Adaeze from Lagos Creative Studio has sent an invoice for $1,200 due on June 15 for branding work. No action has been taken yet.”Summaries appear in the Imports section of your dashboard alongside the thread details.
How Hedwig determines which emails need action
Imported threads are flagged for review based on their status:| Status | Meaning |

NEEDS_REVIEW or IMPORTED status and contain detected invoice data, the AI assistant surfaces a suggestion in your workspace prompting you to review and match the import. This suggestion appears in the assistant panel and on the Imports page.
Thread matching — how Hedwig links emails to clients
After importing a thread, Hedwig attempts to match it to an existing client in your workspace using the email addresses of everyone in the conversation. Exact match: If any participant’s email address exactly matches a client email in your workspace, the thread is linked to that client with full confidence. Domain match: If no exact match is found, Hedwig checks whether any participant shares the same email domain as a saved client. For example, if your client isalice@designstudio.com and an email comes from billing@designstudio.com, Hedwig links them.
If neither match succeeds, the thread remains unmatched and the assistant suggests either creating a new client from the sender’s details or linking the thread to an existing one manually.
Attachment analysis
When a matched thread contains PDF or image attachments, Hedwig reads the attachment content to extract structured data. For invoices and contracts, it attempts to identify:- Invoice number
- Issuing company name
- Line items with amounts
- Issue date and due date
- Total amount and currency
Viewing email summaries in Hedwig
Open Imports
On the web dashboard, go to Imports in the sidebar. On mobile, this section is accessible from the main menu.
Review imported threads
Each thread shows the sender, subject, AI-generated summary, detected amount, and detected due date (where available). Threads that need your attention are highlighted.
Match to a client or project
If the thread is not automatically matched, you can link it to an existing client, create a new client from the sender’s details, or link it to an active project. The assistant pre-fills the suggested client name and email based on the sender.
How the sync works
Gmail is synced on a schedule. Each sync fetches up to 50 threads matching the financial document search query. New threads are added to your Imports; threads already stored are updated if their content has changed. The last sync time is recorded and visible in your integration settings. You can also trigger a manual sync by going to Settings → Integrations → Gmail and tapping Sync now.Privacy and data handling
- Hedwig only reads threads that match its financial document search query. General emails, personal messages, and newsletters are not read or stored.
- Attachment content is stored in your private Hedwig file storage and is not shared with third parties.
- Thread summaries and extracted data are associated only with your account.
- You can disconnect Gmail at any time from Settings → Integrations. Disconnecting stops future syncs; previously imported threads remain in your workspace until you delete them.
