After you create your Hedwig account, a few minutes of setup makes the rest of the platform more useful. This page walks through completing your profile, setting a monthly revenue target, and getting set up on mobile and web.

Complete your profile

Your profile information appears on invoices, contracts, and payment links that your clients see. Keeping it accurate and complete makes you look professional and helps Hedwig personalize things like the AI assistant’s context and your earnings tracking. To update your profile, open the Settings section from the sidebar and select Profile.

Name

Your first and last name are set during sign-up and appear on every invoice and contract you create. If you signed up with Google or Apple, your name is pre-filled from your provider. You can update either field at any time.
Use the name or business name you want clients to see on invoices. If you operate under a business name rather than your personal name, you can enter that here.

Email address

Your email address is tied to the account you used to sign up. It is used for notifications, invoice receipts, and anything Hedwig sends on your behalf. You can update it from your profile settings.

Profile photo

Adding a profile photo is optional but recommended. It appears in the dashboard header and on certain documents. To add or change your photo, open your profile settings and upload an image — square images work best.

Set your monthly revenue target

Your monthly target is the income goal that Hedwig tracks your earnings against. When you set a realistic number, the earnings progress bar on your dashboard becomes a meaningful signal rather than an arbitrary figure. You set an initial target during onboarding. The three preset tiers are:
PresetTarget
Starter$1,000 / month
Growing$5,000 / month
Established$10,000 / month
You can also enter a custom amount in any increment. To change your target after onboarding, open SettingsProfile and update the Monthly target field.
Your monthly target resets each calendar month. Hedwig tracks paid invoices and payment links received during the month against this figure. Adjust it as your freelance income grows.

Access the web dashboard

The Hedwig web dashboard is available at hedwigbot.xyz. Sign in with the same credentials you used to create your account — Google, Apple, or email with a verification code. The dashboard gives you access to:
  • Overview — earnings summary, payment rate, pending invoices, and active clients
  • Insights — detailed revenue charts and payment history
  • Calendar — invoice due dates and reminders synced alongside your meetings
  • Workspace — clients, projects, contracts, and milestones
  • Money — invoices, payment links, and wallet
If you sign in from a new browser or device, you may be asked to verify your identity again with a code sent to your email. This is normal — Hedwig uses Privy for secure, passwordless authentication.

Download the mobile app

The Hedwig mobile app brings your full workspace to iOS and Android. You can create invoices, check payments, manage clients, and use your wallet on the go. Your data stays in sync with the web dashboard — invoices, clients, and projects are all the same across both.

Download the app

2

Open the app and sign in with the same Google account, Apple ID, or email you used on the web. Your account is recognized automatically — you don’t create a separate mobile account.
3

Enable notifications

Allow push notifications when prompted. Hedwig sends you alerts when a client pays an invoice, when a payment link is opened, and when invoice due dates are approaching. You can manage notification preferences from your profile settings at any time.
The iOS app is currently in TestFlight beta. TestFlight builds are updated regularly. If you see a prompt to update the app, install the latest version to get new features and fixes.

Subscription and plan

Your Hedwig plan is shown in the dashboard under your profile. The Free plan covers everyday invoicing and payments — invoices, payment links, contracts, clients, projects, and the earnings dashboard — with monthly limits. The Pro plan adds:
  • The Hedwig AI assistant, Creation Box, and smart suggestions
  • AI document import (OCR for invoices and contracts)
  • Recurring and milestone invoice automation
  • Daily brief and weekly summary emails
  • Gmail, Google Calendar, Drive, and Docs integrations
  • Full revenue history and tax planning views
  • Unlimited invoices, payment links, contracts, and payout bank accounts
Pro is 5permonthor5 per month** or **48 per year, and new subscribers start with a 7-day free trial. See the full breakdown on the pricing page. Your subscription is managed through the web dashboard.
If you cancel your Pro subscription, you retain access until the end of your current billing period. After that, recurring invoice automation and tax reports are no longer available, but all your existing data stays intact.

Managing your account

Change notification preferences

You can turn client payment reminders on or off from SettingsPreferences. By default, Hedwig sends reminder notifications when client payments are due or overdue.

Delete your account

If you need to permanently delete your Hedwig account, go to SettingsAccount and select Delete account. This is permanent and removes all your data including clients, invoices, and transaction history.
Account deletion is irreversible. All associated data — clients, projects, invoices, contracts, and transaction history — is permanently removed. If you’re on a paid plan, cancel your subscription first to avoid future charges.
