A proposal is a pre-contract document you send to a prospective client to outline what you’re offering, what it costs, and why you’re the right person for the job. Unlike a contract, a proposal is not binding — it’s a pitch. Once a client accepts, you can convert it into a contract and project to get work started.
The proposals feature is currently under active development and will be available in a future update. The details on this page describe the intended functionality.

What proposals are for

Proposals let you present your services professionally before any formal agreement is in place. A good proposal typically covers:
  • The problem or goal the client wants to address
  • Your proposed approach and deliverables
  • A milestone breakdown with costs
  • Your timeline
  • Why you’re suited for this work
Hedwig uses AI to draft the proposal body based on the information you provide, so you can produce a polished document in minutes rather than hours.

Create a proposal

Open the proposals screen

Go to Workspace → Proposals and tap New Proposal.

Fill in the proposal details

Provide the key information Hedwig needs to draft the proposal:

Review the AI draft

Hedwig generates a professional proposal document using your inputs. Review the text and make any adjustments before sending.

Send to the client

Enter the client’s email address and tap Send. The client receives the proposal by email and can review it at a link.

AI-assisted proposal generation

Hedwig’s AI (powered by Google Gemini) writes the proposal narrative based on the project title, scope of work, and milestone details you provide. The generated document includes a professional introduction, a breakdown of deliverables, and a payment schedule — written in a tone suited to a client-facing pitch document.
Be specific when describing the scope of work. “Brand identity design including logo, color palette, and typography system” gives the AI enough context to write a compelling proposal, while “design work” does not.

Convert a proposal to a contract or project

When a client accepts your proposal, you can convert it directly into a contract or a full project without re-entering any information.

Convert to contract

Creates a binding contract pre-filled with the proposal’s scope, milestones, and payment terms. Ready to send to the client for formal approval.

Convert to project

Creates a project in your workspace with the client, milestones, and budget already set up. Hedwig auto-generates a draft contract and — on Pro — draft invoices for each milestone.
Converting a proposal does not delete it. The original proposal stays in your Proposals list so you have a record of what you pitched.

Proposal statuses

You can track the status of all your proposals from the Proposals screen and follow up with clients who have viewed but not yet responded.
